Frequently Asked Questions

What are the minimums? Who is this for?

Our done-for-you programs are designed for professional service firms sending to 100+ recipients. If you need fewer cards or prefer to handle addressing yourself, you can order cards directly from our catalog with no minimum.

How much lead time do you need?

Most campaigns run 3-4 weeks from order to mail date, depending on revision rounds and list size. Once you approve the final proof, cards typically mail within 3-5 business days.

Q4 (holiday season): Our handwriting robot's capacity is limited during peak holiday weeks - earlier order confirmation locks your preferred mail date on our schedule. We recommend finalizing your order by early November to guarantee delivery before the holidays.

How does billing work?

Your order total includes everything - cards, handwriting, addressing, mailing, and postage. One price, no separate invoices. Postage is included at actual USPS First-Class rates with no markup.

What's your guarantee?

On-Time Mailing Guarantee. We agree on your USPS mail-by date in advance. If we miss that date by more than 2 business days due to our production or handling error, we upgrade postage at our expense to move your cards as quickly as possible, and credit 20% of your campaign fee back to your firm.

Quality & Accuracy Guarantee. You approve a final digital proof before anything goes to print. If your cards arrive misprinted, damaged, or materially different from the approved proof due to our team or our print partner, we reprint your full order and re-mail at no charge, using the same or faster postage class. If a printing error prevents us from meeting your mail-by date, the On-Time Mailing Guarantee applies as well.

Guarantees do not apply if final proof, mailing list, or invoice approvals miss agreed deadlines.

How does the charity donation work?

Cards for Causes donates at least 10% of net proceeds from greeting card sales to charity each year. You direct your campaign's share to any IRS-recognized 501(c)(3) of your choice. Tax receipts are not provided - the donation is our commitment, and your purchase is a normal business expense. Learn more about our charity program →

How We Handle Your Client Data

What format do you need for my mailing list, and what do you collect?

Excel or CSV with columns for name and mailing address. That is all we collect - nothing beyond what's needed to address an envelope. If your list needs cleanup or reformatting, just send what you have and we'll work with you.

Who touches my client data?

Internally, only our operations manager, who loads lists to feed the envelope-addressing process. Externally, exactly two parties touch address data: Smarty (USPS-certified CASS address validation, SOC 2 Type II audited - receives addresses only) and USPS for physical delivery.

How is my list stored and protected?

On encrypted servers in our AWS environment: AES-256 encryption at rest, TLS 1.2 or higher in transit, and application services that are not reachable from the public internet.

How long do you keep my list?

90 days after your campaign mails - long enough to support reprints, returned-mail handling, or post-campaign reporting - then purged from active systems. If you'd like us to hold your list for next year's campaign, you can opt in; we re-confirm annually.

Will you market to my clients or share my list?

Never. We do not market to your recipients, and we do not share, sell, or rent your list. We do not use your data to train any model or enrich any dataset. Your list is used solely to fulfill your campaign. Have a vendor confidentiality agreement? Send your firm's standard NDA and we'll execute it before any list data changes hands.
